The Administrative Assistant / Coordinator will provide daily administrative and operational support to leadership and staff. This position will assist with HR-related documentation, reporting, timekeeping, procurement, accounting support, office coordination, employee events, and general administrative functions while maintaining accurate records and providing excellent support in a fast-paced environment.
1st Shift | $24.50/hour
ESSENTIAL DUTIES AND RESPONSIBILITIES:
* Provide daily administrative support to leadership and staff
* Assist with employee records, I-9 documentation, workers’ compensation reporting, and other HR-related records and reporting
* Support timekeeping, employee profiles, job requisitions, cost center coding, and related administrative processes
* Assist with accounts payable, procurement, and workflow processes
* Collect data and maintain databases, reports, and reporting tools
* Maintain internal records, documents, and shared information resources
* Coordinate IT-related support, including equipment tracking, printers, laptops, security codes, and access cards
* Plan and coordinate employee events and meetings
* Schedule meetings, conference calls, rooms, and required equipment
* Order and distribute office, breakroom, and other supplies
* Greet, check in, and direct visitors
* Answer telephone calls, respond to general questions, and direct callers to the appropriate party
* Maintain printer supplies and coordinate equipment repairs as needed
* Sort and distribute mail and packages
* Provide general office and mail services support
* Duties may include additional administrative or operational responsibilities as business needs require

EDUCATION AND/OR EXPERIENCE:
* High school diploma or equivalent required
* 2+ years of Administrative Assistant or related office experience preferred
REQUIREMENTS/SKILLS:
* Excellent written and verbal communication skills
* Strong organizational and time management skills
* Ability to multitask and prioritize responsibilities in a fast-paced environment
* Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and PDF applications
* Strong computer and data-entry skills
* Ability to maintain accurate records and handle confidential information appropriately
* Previous switchboard or multi-line phone experience preferred
* Ability to work independently and as a member of a team
* Strong attention to detail and follow-through
* Ability to communicate professionally with employees, leadership, visitors, and outside contacts
