Administrative Assistant / Customer Service
Pay: $23-$27/hour (DOE)
Schedule: Part-Time | Monday-Friday | 9:00 AM – 2:00 PM
Type: Temp-to-Hire
Location: On-site only (Hybrid/Remote not available)

We are seeking a detail-oriented and proactive Administrative Assistant / Customer Service to support daily operations, purchasing, shipping coordination, and customer communication. This role is ideal for someone who enjoys wearing multiple hats, staying organized, and keeping construction-related projects moving smoothly.
Key Responsibilities
Shipping & Logistics

Set up, coordinate, and manage all UPS shipments

Conduct post-shipping follow-ups and manage customer surveys
Purchasing & Receiving

Purchase shop supplies and packaging materials
-
Create and manage combined POs for anodizing
-
Maintain Open PO reports
-
Confirm order confirmations and update due dates
-
Handle daily receiving activities
Project & Job Management
-
Manage and maintain job checklists
-
Check and update transmittals
-
Send color chips and swag for new construction projects
-
Confirm material take-offs are completed within 2 weeks of submittals
-
Ensure Global Shop is updated within 2 weeks of submittals
-
Verify ship dates are accurate in Global Shop
-
Confirm Project Managers respond to customers within 24 hours

Update and maintain PM forms
-
Close out project documentation
Systems & Support
-
Manage and maintain Procore (construction management system)

Create and maintain training schedules
-
Coordinate and manage outside IT support
Qualifications
-
Previous administrative, customer service, or operations support experience
-
Construction industry experience is a plus
-
Familiarity with Procore or other construction management systems preferred

Strong organizational and follow-up skills

Excellent communication skills and attention to detail

Ability to manage multiple priorities in a fast-paced, on-site environment
